How an AI phone receptionist works

An AI receptionist is software that answers your business phone. Here is what happens during a call and what you should expect it to do and not do.

During a call

The call reaches the system through your business number or by forwarding. A voice greets the caller, asks what they need, and follows a call flow you approved: name, address, type of work, how urgent it is, and how to reach them.

What it can do

  • Answer every call at any hour, including several at once
  • Ask your screening questions the same way each time
  • Offer open slots from your calendar and confirm an appointment
  • Send you a written summary by email or text
  • Transfer urgent or upset callers to a person

What it should not do

It should not invent prices, promise dates you did not approve, or give advice outside its script. When it does not know something, the right behavior is to take a message and flag it for a person.

What sits behind it

A voice layer handles speech, a language model handles the conversation, and connections to your calendar and inbox handle the follow-through. A good setup also logs each call so you can review what was said.

How to judge one

Ask to hear it handle a real scenario from your trade. Ask what happens on an emergency and what happens when it cannot answer. Our AI receptionist for contractors page explains how Orion sets this up.

Common questions

Will callers know it is an AI?

It should introduce itself as a virtual assistant, and it should say it is an AI if a caller asks.

Does it work with my existing phone number?

Usually yes, through forwarding or by porting the number. Confirm this with any provider before you commit.
