Appointment reminders that cut no-shows

An estimate visit or consultation that nobody attends costs you time, fuel, and a slot someone else could have used. Reminders are one of the easiest automations to set up.

What a good reminder does

  • States the date, time, and address or link
  • Makes it easy to confirm, reschedule, or cancel
  • Arrives when it helps, for example the day before and again the morning of
  • Sounds like your business, not a generic template

How to set it up

Most calendar and CRM tools can send reminders. If yours cannot, a workflow tool can read your calendar and send texts or emails on a schedule. Keep the message short and include a way to reply.

Handling replies

Decide who reads replies and what happens when someone cancels. A cancellation should free the slot in your calendar and, if possible, offer it to someone waiting.

What to measure

Count no-shows and cancellations before you start and again after a month. If the number barely moves, adjust the timing or wording before adding more tools.

Part of a bigger flow

Reminders work best alongside fast answering and clean booking. See speed to lead and our overview of what small businesses can automate.

Common questions

Text or email?

Text messages are usually read faster, but some customers prefer email. Offer both if you can.

Do reminders need customer consent?

Customers who book with you generally expect confirmations, but messaging rules vary. Check current rules and keep opt-out simple.
