AI tools often process customer names, numbers and documents. A short checklist reduces the risk.

Before you adopt a tool

  • What data will it see?
  • Where is it processed and stored?
  • Is your data used to train models?
  • How long is it kept and can you delete it?
  • Who can access it, including vendor staff?

Give staff clear rules on what may be pasted into AI tools. Use separate work accounts and limit access to those who need it.

Regulated data

Health, legal, financial or children's data may have special rules. Check them before connecting any tool.
